CO is recruiting on behalf of one of the world’s leading Commercial Real Estate companies within their EMEA Capital Advisory division in Central London, they have a requirement for a PA to provide business support to an Executive Director and a Senior Director.
Job Title & Role: Personal Assistant
To provide highly efficient assistance to the Loan Services team with PA responsibilities for senior team members.
This is an excellent opportunity for an experienced administrator looking for a role with scope to develop their PA skills, be a critical part of the function of the team and become involved with the business outside of their core responsibilities.
Key Responsibilities
- To work in a team of 50 people.
- Support 1 x Executive Directors and Senior Director Group.
- Organising Travel national and International of the Service Line Leader
- Managing the diary of the Service Line Leader
- Note Taking of defined meetings.
- Excellent PDF skills. Required for the conversion and compilation of reports with multiple sections from multiple sources.
- Prepare high quality presentations, reports, and marketing material.
- Take ownership of issues – pushing things through to resolution, coordinating responses and keeping all stakeholders/clients informed as appropriate.
- Financial management: financial reporting, processing of invoices, reconciling financial reports, supporting debt management, expenses.
- Undertaking compliance checks and supporting ISO Audits.
- Ability to learn use software such as Client IQ (Salesforce), Finishline and MyBuy.
- Organising of both internal and external meetings.
- Organising client and team events.
- IT Champion for the team
- Managing holiday and sick leave
- Supporting co-ordination of office attendance/desk booking.
- Providing general business support to the wider department and involvement in departmental projects as required.
Person Specification/Requirements
- Prior PA experience in a very busy team.
- Excellent organisational skills and exceptional attention to detail.
- Pro-active, using initiative.
- Good interpersonal and communication skills, with good spelling and grammar
- Excellent numeracy and ability to support financial functions.
- Ability to work proactively and cooperatively as a team player.
- Able to work to deadlines and have a flexible approach.
- Forward thinking and looking ahead to keep the team prepared and organised
- Extremely professional and approachable.
- Discretion and sensitivity around confidentiality.
- Excellent IT skills: Adobe PDF, Excel, Word, Outlook and Power Point (production of high-quality documents, reports and correspondence, diary and email management in Outlook).
- GCSE’s – Maths and English Language – minimum C grade.
Salary:
Up to £35,000pa with an excellent benefits package.
